An AI automation agency takes workflows your team runs by hand, maps how the work actually moves, and builds agents that handle the repetitive slice of it: triaging the queue, extracting the documents, reconciling the records, drafting the responses your people review. What a real agency delivers
Four layers, and you should see all four in any serious proposal:
- Process consulting. Someone sits with the people who run the workflow and maps it: the queues, the handoffs, the re-keying, the exceptions. If an agency starts with a tool demo instead of your process, they are selling the tool.
- Agents on real queues. Agents that work the ticket queue, the quote queue, the dispatch board, or the close-out pack. Not a chatbot in the corner of the intranet.
- The work underneath. Connections into your systems, source documents the agent can cite, quality checks that catch regressions before your customers do, and monitoring your own team can read.
- One trusted record. Agents and humans working from the same source of truth. Without this, every automation is a silo that breaks quietly.
The questions that expose a tool reseller
Ask these on the first call:
- “Who writes the code?” In-house engineers, or subcontractors and a white-labelled platform? You want the people in the room to be the people who build.
- “What do we get at handover?” The right answer includes the agent, system connections, quality checks, training, runbooks, and operating notes. If the answer involves an ongoing licence to keep your own workflow running, walk.
- “How do you decide what to build first?” The right answer is Workflow Baseline: one KPI, a visible measurement method, and a fixed Launch scope. The wrong answer is “we usually start with a chatbot.”
- “What happens when the model gets it wrong?” A serious agency talks about quality checks, human review points, and what stays with your people. A reseller talks about accuracy percentages with no test set behind them.

Does “near me” matter?
Less than you think. The mapping work follows the workflow, and the useful version of that is watching your operators work the actual queue, screen by screen; a Google Meet session with the person doing the job surfaces workarounds a boardroom walkthrough never will. The build happens inside your environment either way. What matters is timezone overlap, environment access, and someone senior on your calls.
